Creating Meeting Minutes Using AI Chat

AI Chat Overview

AI Chat is a feature that assists in creating meeting minutes. You can ask questions about the meeting content or request summaries organized by speaker.

It can also be used in meetings with Bots, enabling real-time extraction of important points and generation of decisions.

AI Chat is displayed by default in notes. If you prefer to have the transcription displayed by default, you can change this in your personal settings.

AI Chat Area Components

  • Chat buttons:

    Click "+" to immediately create a new chat

  • Prev / Next buttons:

    Navigate through chat history (older and newer chats)

    *Note: History disappears when you leave the note page.

    *Note: History is not shared with other members.


How to Use AI Chat

① Using Buttons

Several pre-configured requests are available. Click the button that matches your needs:

  • What is this meeting about?

  • Create headings for each speaker and organize the content

  • Organize important questions and answers in Q&A format

  • Summarize my comments

  • Generate more prompts

How to use the "Generate more prompts" button

When you click "Generate more prompts," prompts will be generated based on the transcribed text topic (these are generated each time, so you won't see the same content twice).

Click on any recommended prompt to display it in the "Ask AI..." field at the bottom, review the content, and press "Send".

You can add or copy the summary results to your minutes in three ways:

  • Add:

    Adds to the bottom of the minutes area on the left side of the note screen

  • Add at cursor position:

    Adds at the cursor position in the minutes area

  • Copy text:

    Click the overlapping square icon to copy the summary content

② Entering Prompts

You can enter instructions or questions in the text box at the bottom that displays "Ask AI...".

Can Be Used in Meetings with Bots

Even with Bots in the meeting, you can check summaries by clicking the following buttons in the AI Chat area:

  • Catch up on the conversation so far

  • Are there any discussions being left behind?

  • Please suggest questions to deepen the discussion

  • Generate more prompts

You can also enter prompts like "Summarize the content so far" or "Compile only the questions" in the "Ask AI..." field to give instructions during the meeting.

Users Who Can Use AI Chat

AI Chat can be used by anyone who can view the note, including users who are not logged in. In other words, anyone with viewing permissions for the note can use AI Chat.

You can also edit content suggested by AI Chat. For example, you can "replace" or "add below" the content suggested by AI Chat. However, to use this feature, you need editing permissions. In other words, any user with permission to edit the note can use the AI Chat editing features.

For example, if you share a link with the "Anyone with the link can edit" setting, anyone can use AI Chat to edit. If you invite users with view-only permissions, those users can use AI Chat but cannot use the editing features.

If you press the "Replace" or "Add below" button without editing permissions, an error message will appear saying "Failed due to lack of editing permissions."

Setting Transcription Display as Default

In the personal settings section of the settings screen, select "Transcription" under "Tab to display by default on the right side of notes."

When you open a note, the transcription will be displayed by default.​​​​​​​​​​​​​​​​
