What You Can Do with the Bot Feature

  • By inviting the Bot to web meetings, you can automate meeting recording, transcription, and summarization.

  • The Bot performs real-time transcription and summarization during online meetings, eliminating the need for data uploads and waiting time for transcription work.

  • It automatically separates and identifies speakers based on online meeting account information.

How to Use

1. Click the "Bot icon" (button that displays "Web Meeting Recording" when hovering) in the upper right corner of the notes list screen.


2. When the "Add Recording Bot" screen opens, enter:

  • Title

  • Meeting URL (Zoom / Google Meet / Microsoft Teams / Webex)

  • Check "Audio recording only" if you don't want to keep video from the meeting

  • Team (folder where notes will be stored)

  • Language

  • Dictionary

Then click the "Start Recording" button.


3. A note will be created, and the Bot will prepare to join the web meeting.


4. When the meeting starts, "Rimo Minutes Bot" will enter as an online meeting participant. Please grant permission for entry.

Example) For Google Meet: Click "Accept"


5. When recording begins, the meeting transcription will start appearing in the created note.

*Speaker separation is automatically executed based on online meeting account information.

6. When the meeting ends, transcription and summary will be displayed in the note. Folder organization will also be executed.



Timeout Conditions

The Bot will automatically exit the meeting under the following conditions:


Silence Detection

  • If 60 minutes or more of silence continues after 20 minutes have passed since the start of the meeting, the Bot will automatically exit.

Waiting Room Timeout

  • If the waiting time in the waiting room exceeds 20 minutes, it will be treated as a timeout.

  • Platform-specific limitations:

    • In Google Meet, you will be forcibly removed after 10 minutes.

    • Similar restrictions may exist on other platforms (such as Webex).

Participant Absence Timeout

  • If no one joins the meeting for 20 minutes after the Bot has joined, it will automatically exit.

Timeout After Everyone Exits

  • The Bot will exit 2 seconds after all participants have left.

Recording Start Failure

  • If recording cannot be started within 60 minutes after joining the meeting, the Bot will exit.

  • This condition is likely to occur mainly in Zoom.



Guidelines for Recording Time When Using Bot

Maximum Recording Time

There is currently no set limit, but for system reasons,

  • the recommended recording time is 5 hours or less.

  • Errors may occur if this time is exceeded.

Video Quality Settings

If high-quality settings are used, errors may occur regardless of the recommended time. Standard quality settings are recommended for stable use.

Notes

Errors may occur if you exceed the recommended time. No charges will be incurred in case of errors, but we would appreciate your cooperation in using the system within the guidelines to reduce system load.
