① Adding Events Manually Without Calendar Integration
1. Click the gear icon in the upper right of the schedule screen to display the "Add Event" button, then click it.
2. When the "Add Event" screen opens, you can manually add events and schedule recordings by entering:
Title
Date
Time
Meeting URL
Check "Audio recording only" if you don't want to keep video from the meeting
Team (folder where notes will be stored)
Language
Dictionary
*The Bot will enter the room 2-3 minutes before the scheduled time. Meetings conducted before the Bot enters will not be recorded.
② Starting Recording Immediately for an Ongoing Online Meeting
1. Click "Record with Bot Now" in the upper right of the schedule screen.
2. When the "Add Recording Bot" screen opens, enter:
Title
Meeting URL
Check "Audio recording only" if you don't want to keep video from the meeting
Team (folder where notes will be stored)
Language
Dictionary
Then click the "Start Recording" button. This allows you to add a Bot to the current meeting and start recording/transcription.
③ Recording Audio Only
If you don't need to record video (such as when you don't want to keep displayed materials during meetings), you can record audio only.
Check "Audio recording only" when using "Record with Bot Now" or "Add Event."
④ Recording Meetings with Multiple Participants
When users A and B from your company account attend the same meeting, if user A has already scheduled a recording Bot, user B's screen will display the name of the person who scheduled the recording (user A), and the recording reservation will be synchronized.
If user B is an administrator: They can change the recording on/off setting.
*This applies whether user A is an administrator or member.
If user B is a member: The option is grayed out and they cannot change the recording on/off setting.
*This applies whether user A is an administrator or member.
⑤ Centralized Management of Schedule Integration (For Administrators)
When an organization administrator specifies a particular calendar, members will be automatically guided to the integration screen with the specified service when using the schedule feature.
1. After logging into Rimo Voice, click "Settings" displayed on the left side, then click "Schedule Integration."
Turn on Google Calendar / Outlook Calendar.
*For Outlook Calendar only, you can provide consent as an administrator to the Microsoft account. This eliminates the need for consent from each user for calendar integration.
2. When members visit "Schedule" https://rimo.app/schedule, they will see a screen notifying them about integration with the calendar specified in step 1.
