[Enterprise/Pro] Record and Real-time Transcribe Zoom Webinars with Bot

This guide explains how to use the "Rimo Meeting Bot" to record and real-time transcribe Zoom webinars.

Zoom webinars have two roles: "Attendees" and "Panelists." By entering the invitation URL issued to "Panelists" into Rimo Voice, the Bot can join the webinar.

Key Points for Setting Up Bot to Join Zoom Webinar

  • Turn off "Require panelists to authenticate to join" in the Zoom webinar settings

  • Register the panelist invitation URL* (URL with "tk" in the URL parameter) as the meeting URL in the Rimo Minutes Bot settings screen

*The panelist invitation URL can be obtained by having it shared from a panelist participant, or by registering yourself as a panelist.

Preliminary Setup: Zoom Webinar Configuration

1. When scheduling a webinar in Zoom, turn OFF "Require panelists to authenticate to join."

(Note: You do not need to enable "Automatically record the webinar")

2. To generate a panelist invitation URL, click "Edit" under "Invite Panelists."

(Note: While Zoom has a feature to promote attendees to panelists later, you must register as a panelist, not an attendee, to allow the Bot to join the webinar)

3. Register the "Name" and "Email" of the panelist invitee or yourself.

4. An invitation email notifying you that you've been invited as a panelist will be sent to the registered email address (from: [email protected])

Use the webinar URL in the email body (the one with tk in the URL parameters) as the meeting URL for Rimo Voice.

💡 The panelist registrant does not need to be a Rimo user.

You can also have someone invited as a panelist share the webinar URL from step 4 above, and a Rimo user can register it with the Bot.

Rimo Meeting Bot Configuration: Manual Schedule Registration

1. On the schedule screen, click the "Schedule recording" button.

2. The "Schedule recording" screen will open. Enter the following information and click the "Schedule recording" button:

  • Title

  • Start time

  • End time

  • Meeting Link (enter the panelist invitation URL)

  • Check "Record only" if you don't want to save video during the meeting

  • Team (folder where notes will be stored)

  • Language

  • Simultaneous translation languages

*The Bot will enter the room 2-3 minutes before the scheduled time. Meetings held before entry will not be recorded.

By completing the above settings, the Rimo Meeting Bot will join the scheduled webinar and automatically perform recording and real-time transcription.

Alternative Methods to Manual Schedule Registration

  1. If the panelist invitation URL is included in the URL of your connected calendar, the Bot can join.

  2. For webinars starting immediately, you can have the Bot join using "Record now."
